How to Archive Old Emails in Outlook

Archiving moves old emails out of your inbox without deleting them — they stay fully searchable, just out of the way. It’s the safe middle ground between a cluttered inbox and hitting delete. Here’s how to archive in every version of Outlook, and how to decide what to archive versus clear.

Archive vs delete: which should you use?

  • Archive — keep it, but get it out of the inbox. Great for receipts, past projects, and anything you might reference later.
  • Delete — you’ll never need it (most newsletters, notifications, promos). Deleting also frees up quota, which archiving to the same mailbox may not.

A good rule: archive what you’d miss, delete what you won’t.

Method 1: The Archive button (Outlook.com & new Outlook)

  1. Select one or more emails (Ctrl+click, or Ctrl+A for all in a folder).
  2. Click Archive in the toolbar (or press the Backspace key).
  3. They move to the Archive folder — still searchable anytime.

To archive in bulk, sort or search first, then select all and archive.

Method 2: Auto-Archive (classic Outlook desktop)

Classic Outlook can archive old mail automatically to a local .pst file, which also frees space on the server:

  1. File → Options → Advanced → AutoArchive Settings.
  2. Set how often it runs and how old items must be (e.g. older than 6 months).
  3. Choose to move them to an archive .pst or delete them.

You can also archive on demand: File → Tools → Clean Up Old Items.

Method 3: Online Archive (Microsoft 365 / work accounts)

Many work accounts include an Online Archive — a separate, large archive mailbox that appears in your folder list. Drag mail into it, or your admin may set a policy to move old items there automatically. It’s ideal when your primary mailbox is near its quota.

The slow part isn’t archiving; it’s deciding, message by message, what’s worth keeping. A per-sender view makes it obvious: entire senders (newsletters, alerts) can be cleared outright, while a few senders are worth archiving.
